Receptionist & Administration Officer

Providing wide-ranging reception and administrative services as part of our Central Services Administration Team you’ll be pivotal in helping to make sure that everything runs smoothly.
Role Responsibility
In this customer facing role the ideal candidate will deliver a positive, professional and efficient office experience to customers and employees visiting the office and convey the professional reputation of one of the leading national health and social care organisations.
- Greet and assist visitors, delivering a professional and responsive reception service
- Deal with contractors, suppliers, candidates and other external parties
- Monitor and maintain a Covid Safe workplace to government guidelines
- Organise and coordinate meetings, managing an effective meeting room system
- Provide a professional, first line response telephone service
- Effectively manage the post, order stationary, book travel, arrange couriers, deal with deliveries and oversee email inboxes
- Provide office equipment support and assist in any other workplace issues that arise to ensure the day to day operation runs smoothly
- Organise and maintain office administration systems and processes
- Provide administration support and assistance where required
- Align to the requirements of other departments, managing expectations and delivering positive outcomes
- Adhere to Health & Safety procedures including security and emergency planning
The scope and development of this role as staff start to return to the workplace provides an exciting opportunity for in-post growth as we return to a new way of working, supporting with the implementation of efficient working practices as the look and feel of the new office environment emerges.
Working closely with the Office Manager the successful candidate will work to adapt, enhance and improve systems and procedures and will show a flexible, energised attitude, remain calm under pressure and bring a strong hands-on, sleeves up approach to the role.
The Ideal Candidate
Requirements of the successful candidate:
- Commitment to customer service and high quality user experience
- Excellent communication skills including listening and questioning, engaging appropriately with the audience and building mutually beneficial relationships
- Competent, flexible and efficient in administration support
- Highly organised with great attention to detail
- Ability to understand and follow specific instructions and processes
- Confident to flag issues, ask for help and to take corrective action when required
- Prioritise and coordinate workloads to achieve deadlines with ability to manage own time
- Problem solve with a resourceful approach to challenges
- Develops own areas of skills through experience and training and applies appropriate knowledge
- Proactive, self-motivated – positively contributing with a can-do attitude
- Maintains confidentiality and recognises sensitive matters
- Respects and appreciates individual differences and contributions
- Confident user of MS Office systems ( Outlook, Word, Excel )
- Previous experience of working as a receptionist, administrator or within customer services
The position on offer is an office based role but, dependant on external influences and any future government guidance the successful candidate may be required to work from home.
The role is initially offered on the basis of a 6 month fixed term contract comprising 37 hours per week, Monday to Friday with salary equivalent to £17,423 per annum.
